Privacy Policy
Purpose
The purpose of this policy is to ensure that ASHHNA adheres to the requirements set out in the Privacy Act 1988 and the Australian Privacy Principles, which govern standards, rights and obligations for the collection, use and disclosure of personal information.
The purpose of this policy is to inform:
· all our volunteers, members and representatives,
· independent contractors as well as
· individuals who provide us with their personal information of their rights and responsibilities concerning the uses of personal information.
Definitions
Personal information means information or an opinion about an identified individual, or an individual who is reasonably identifiable:
(a) whether the information or opinion is true or not; and
(b) whether the information or opinion is recorded in a material form or not.

About this policy
The Australasian Sexual Health and HIV nurses Association is bound by the Privacy Act 1988 (Cth) and is committed to complying with the Act, including the Australian Privacy Principals, and to protecting the privacy of the personal information that we hold.
This policy applies to all our volunteers, members and representatives, independent contractors as well as individuals who provide us with their personal information.
If we decide to change this Privacy Policy, we will post those changes to: · the relevant page on our website: www.ashhna.org.au
· an email alert to our members, if necessary, in cases where those changes might also affect their membership.
Your right to access and inspect and, where necessary, correct or remove, the personal information that we hold about you as in accordance with the constitution of the association.
We take all reasonable steps to ensure that the personal information we hold is accurate and up to date. If you feel that information about you is not accurate or your details have, or are about to change, you can:

You have a right to access your personal information, subject to certain exceptions provided for in the Privacy Act and subject to the associations’ constitution. For security reasons, you will be asked to put your request in writing and provide proof of your identity.
All requests to amend or otherwise update information we hold about you will be performed as soon as practically possible.
All requests to remove information we hold about you, or to restrict the way in which we process your data, will be performed as soon as practically possible, although this may impact our ability to communicate with you and provide its suite of services.
Your right not to provide personal information to us.
You are not obliged to give us your personal information. If you would like to access any of our services on an anonymous basis, we will take all reasonable steps to comply with your request. However, if you choose not to provide us with personal details, such as your name or address, the range of options available to you or your organisation, may be limited.
For example, in the case of anonymity, we cannot provide the full range of member services or allow you or your organisation to participate in networking and events, or successfully deliver any products and services that you can engage with from our association.
Your right to have your privacy complaints investigated and resolved.
If you have a complaint about our privacy practices, including a perceived breach of the Australian Privacy Principles, please contact us.
Our Privacy policy was last updated January 2024. This policy will be reviewed every two years and after any changes to the Privacy Act 1988 and the Australian Privacy Principles.
Changes to Privacy Policy
Please be aware that we may change this Privacy Policy in the future. We may modify this Policy at any time, in our sole discretion, and all modifications will be effective immediately upon our posting of the modifications on our website or notice board. Please check back from time to time to review our Privacy Policy.

Social Media Policy
ASHHNA provides news and updates relevant to nurses with an interest in or working in the areas of sexual and reproductive health and HIV. We encourage social media users to add information to these forums by leaving your thoughts and comments about the information shared here. However, ASHHNA social media administrators moderate all activity, and will not hesitate to remove and report any material that is inappropriate or offensive. Comments should remain relevant to the topic, and whilst we understand that users may have differing views and opinions, negative or offensive remarks will not be tolerated.
We will not allow:
Language that is abusive, threatening or obscene.
• Language that incites hatred or violence or targets individuals on the basis of HIV status, race/ethnicity, religion, gender, sexuality, nationality or political beliefs.
Comments that are deceptive, misleading or unlawful.
• Comments that are inflammatory or off-topic.
• Commercial solicitation.
• Comments about unrelated goods/services.
• Violation of intellectual property rights.
• Unrelated URLs.
Moderation Comments that criticise ASHHNA, ASHHNA members or associated organisations will be considered on a case-by-case basis. ASHHNA retains the right to respond to criticism or enable those criticised to respond. In this instance, users will be redirected to an appropriate ASHHNA delegate. Health Practitioners who utilise the ASHHNA social media sites are required to abide by the Australian Health Practitioner Regulation Agency (AHPRA), National Board Policy for Registered Health Practitioners Social Media codes, guidelines and policies which can be accessed below:
